Protecting personal information is an absolute priority. This policy transparently explains the practices surrounding the collection, use, retention and protection of data, in accordance with Quebec’s Law 25 and the ethical requirements of the Ordre des travailleurs sociaux et des thérapeutes conjugaux et familiaux du Québec (OTSTCFQ).

Collecting personal information

Information collection is strictly limited to what is necessary to provide safe, high-quality clinical support.

  • When you first make contact: First name, last name, email address and reason for the request, through the protected website form.
  • During clinical follow-up: Full contact details, emergency information and information required for the psychosocial record.

Using data

The information collected is used exclusively to:

  • Assess whether the request is appropriate and schedule sessions.
  • Maintain the clinical record in accordance with professional standards.
  • Process billing and issue insurance receipts.

Protecting, hosting and retaining information

Rigorous technological and administrative security measures are in place to prevent unauthorized access.

  • Secure platform: Clinical follow-up and record management take place through Psylio, an encrypted system that meets Quebec’s highest security and compliance standards.
  • Hosting: Clinical data managed in Psylio is hosted securely on servers located in Canada.
  • Retention: Clinical records are kept for a minimum of five (5) years after the date of the last service, as required by professional regulations, before being securely destroyed.

Website form

The website is hosted by Cloudflare. Requests sent through the form are processed by Web3Forms. According to this provider’s documentation, data may be processed in several regions, including outside Canada. Do not use the form for an emergency or to send detailed clinical information.

Managing cookies

The website uses cookies to function properly and optimize the browsing experience. Analytics tools may also be used to understand site usage anonymously. You can configure your browser to block these cookies, although doing so may affect some site features.

Exercising your rights

Under the law, each person retains full control over their information. At any time, you may:

  • Request access to your clinical record.
  • Have inaccurate or incomplete information corrected.
  • Withdraw consent to certain uses of data, subject to legal record-retention obligations.
